Ask how the price is structured

Request a written breakdown of the base transport price and any fuel, toll, terminal, storage, residential-access, or expedited charges. Ask how long the quote remains valid and when the provider can change it.

A fuel adjustment should be described clearly enough for you to understand the trigger and calculation. “Market conditions may apply” is not a useful substitute for a defined policy.

• Ask if the carrier or broker can re-quote after booking
• Keep the original and revised quotes

Consider the route and timing

Long routes, empty return miles, seasonal demand, congestion, and low-volume destinations can matter as much as fuel. A shared load or flexible pickup window may help a carrier use capacity efficiently, but it can trade speed for price.

Avoid treating a fuel surcharge as proof that one provider is dishonest or that another is automatically cheaper. Compare the service plan and final delivered price under the same timing and equipment assumptions.

Protect yourself from surprise adjustments

Before paying, confirm the payment schedule, cancellation rights, and the exact amount due at pickup or delivery. A driver should not be the first person to tell you about a new charge that was never included in the written terms.

If the price changes, ask for the reason and the contract clause supporting it. Keep communications in writing and do not authorize a new amount until you understand the alternatives.
